A meeting room rental at Executive Base Network costs $35 an hour or $275 a day. You pay for the time you book. The rooms sit inside our building at 111 Deerwood Road in San Ramon, one block off I-680 at Crow Canyon Road, a short drive from most of the Tri-Valley. We’ve run this building since 1984.
Most people who book with us work from home the rest of the week. A consultant needs somewhere to walk a client through a proposal. A manager has three performance reviews to run and won’t do them over Zoom. A small team spread across Dublin, Danville and Walnut Creek wants one afternoon a month in the same room. None of them wants a lease.
Here’s what $35 an hour gets you
Every conference room in our San Ramon building has a 65-inch Samsung monitor, a 6-foot Clarus glassboard and its own dedicated fiber internet. Rooms come big and small. Tell us your headcount when you book.
One detail catches people out. We supply an HDMI cable for the monitor and nothing else. If your laptop only has USB-C ports, bring your own adapter. It’s a cheap part, and forgetting it costs you the first ten minutes of the meeting.
The rest is the building itself. Your guests park free outside the door, walk in through a botanical atrium with a fountain, and get greeted by a real person at the front desk. That first impression matters. A client who met you at a Starbucks remembers the noise. One who met you here remembers the meeting.
When does the day rate beat the hourly rate?
The math is short. Seven hours at $35 comes to $245. Eight hours comes to $280, which is already more than the $275 day rate.
- A one-hour client meeting: $35.
- A morning of interviews or reviews (four hours): $140.
- A full-day planning session or training: book the day at $275 and stop watching the clock.
Think you’ll run long? Say so when you book. It’s easier to plan a room around a full day than to stretch an hourly booking at 3 PM.
For one or two people, a private office is cheaper
A conference room is built for a group and a screen. Two people don’t need one. If it’s you and one other person, or you need a door to close for a video call, an hourly private office does the job for $20 an hour or $100 a day. Select offices have a 55-inch Samsung monitor, and all of them run on the same fiber connection.
Our rule of thumb is simple. Three or more people, or anyone presenting on a big screen, gets the conference room. Everything else fits in an office.
Why meetings go better in a rented room
Coffee shops are free until they aren’t. You can’t put numbers on a whiteboard there, you can’t talk about a client’s finances with strangers at the next table, and you can’t count on the Wi-Fi. A hotel meeting room fixes those problems, but it’s priced for events, not for a 90-minute conversation.
A room rented by the hour sits in between. You get privacy, a screen, a board to think on and a front desk that knows your guests are coming, and you walk out having paid for the 90 minutes you actually sat in the chair. Nothing more. If you’re planning the agenda too, our piece on how to have productive meetings covers keeping them short and on topic.
Run through this short checklist before your guests arrive
- Send guests the suite number. We’re at 111 Deerwood Road, Suite 200, and the suite is what gets them to the right front desk.
- Test your screen early. Plug in ten minutes before start time.
- Bring markers you like. The glassboard is six feet wide, and people fill it faster than they expect.
- Book the buffer. A one-hour meeting with a fifteen-minute setup is a two-hour booking if you hate rushing.
How do you get here from anywhere in the Tri-Valley?
Almost everyone arrives on I-680 and gets off at Crow Canyon Road. From downtown Danville it’s about six minutes south. Pleasanton and Dublin drivers head north on the same freeway, and Walnut Creek is a straight run south. Coming by train? County Connection’s Route 97X runs between Dublin/Pleasanton BART and Bishop Ranch on weekday mornings and evenings.
We keep a page for each city we serve. Pick yours. Each covers local business license rules and directions: San Ramon office space, Pleasanton, Dublin, Danville and Walnut Creek.
How do you book a room?
Call us at (925) 831-3535 or send a request through our contact page. Give us the date, time and headcount. The front desk is staffed Monday through Thursday, 8 AM to 5 PM, and Friday, 8 AM to 4:30 PM, so those are the hours your guests will be greeted in the lobby.
Meeting clients every month? Look at a virtual office plan. Every plan comes with a San Ramon business address and mail handling, plus access to our meeting space, so your letterhead and your meeting room share an address.
